Digitization of a work book: how to submit scanned copies

In Ukraine, labor relations between employee and employer are regulated by relevant legislation. Gradually, the electronic work book in our country is replacing the paper one.. The Main Directorate of the Pension Fund of Ukraine (PFU) in the Zaporozhye region told how an insured person can submit scanned copies of a work record for digitization.

The PFU noted that the electronic work book contains digital data on hiring, transfer, dismissal and other changes relating to a person’s work activity.

“Information about periods of activity after January 1, 2004 has already been entered into the register of insured persons of the State Register of Compulsory State Social Insurance based on reports from policyholders. In order for information about a person’s work activity before January 1, 2004 to be entered into the electronic work book, it is necessary to digitize the data from the paper work book issued during employment and executed in the prescribed manner,” the Foundation explained.

The Pension Fund added that both the employer and the insured person can submit copies of scanned pages of a paper work book through the web portal of electronic services..

To submit scanned copies online, the insured person must complete the following steps:.

log in to the PFU web portal using a qualified electronic signature (CES) or “Diya”. Subscribe\;

in the “Communications with PFU” section, select the “Information on labor relations” tab;

fill out general information about the person (if it is not loaded automatically) and consent to the transfer and processing of personal data;

attach scanned copies of all completed pages of the work book in chronological order and click the “Sign and send to PFU” button.

The Foundation explained that in addition to the work book, to confirm certain periods of work experience, you can upload scanned copies of:.

military ID;



diploma (certificate, certificate) of full-time study (together with the application);

child's birth certificate (for women), other documents on experience.

in case of a change of surname, first name, patronymic - documents confirming the change in personal data (in particular, a certificate of marriage, divorce or change of name).
